1. Purpose



This policy sets out how the Wix AI Chat feature (“AI Chat”) on the Prior Mindset website may be used. It explains its purpose, limits, and responsibilities, ensuring visitors understand it is an information tool only and not a substitute for professional services.





2. Nature of the AI Chat



  • The AI Chat uses information from the Prior Mindset website to provide general guidance and direct visitors to relevant pages.

  • It is not a therapist, coach, or medical professional, and does not provide personalised therapeutic advice, diagnosis, treatment planning, or risk assessments.

  • The AI Chat does not form part of any therapeutic contract or clinical record with Prior Mindset.






3. Appropriate Use



The AI Chat may be used to:


  • Find information about Prior Mindset services.

  • Understand published policies (e.g. cancellations, safeguarding, confidentiality).

  • Locate booking information or contact details.

  • The AI Bot will NOT give out personal details, such as age or personal addresses, in answering questions.



The AI Chat must not be used to:


  • Cancel, reschedule, or rearrange sessions. All cancellations must follow the Cancellation & No-Show Policyand be submitted via official email.

  • Replace therapy, coaching, or medical consultations. It cannot provide therapeutic interventions.

  • Disclose sensitive personal, medical, or safeguarding information.

  • Seek crisis support or emergency intervention.

  • Manage claims against an insurance policy (e.g. AXA, Aviva, Vitality Health, Access to Work). Clients must contact their insurer directly and follow the terms of their policy.






4. Safeguarding & Crisis



  • The AI Chat cannot recognise or escalate safeguarding concerns.

  • If you disclose a risk of harm to yourself or others in the AI Chat, this will not trigger a safeguarding response.

  • If you are at immediate risk, call 999 or attend your nearest A&E.

5. Confidentiality & Data Protection



  • Information entered into the AI Chat may be processed by Wix to generate responses.

  • Prior Mindset does not store AI Chat conversations as part of clinical records.

  • Users must not submit sensitive personal health information via the AI Chat.

  • Prior Mindset processes personal data in line with the Confidentiality & Data Protection Policy and Privacy Notice.






6. Accessibility & Fair Use



  • The AI Chat may not be optimised for accessibility tools (e.g. screen readers). Clients requiring adjustments should contact Prior Mindset directly.

  • Abusive, discriminatory, or inappropriate use of the AI Chat may result in restriction of access to website services.






7. Accuracy & Limitations



  • AI responses are automatically generated and may not always be accurate, complete, or up to date.

  • For confirmation of any information, refer to published company policies or contact Prior Mindset directly at info@priormindset.com.






8. Liability



  • No duty of care arises from use of the AI Chat.

  • Prior Mindset accepts no liability for actions taken on the basis of AI Chat responses.

  • Clients must not rely on the AI Chat for clinical decision-making, safeguarding issues, or insurance claims.






9. Governing Law



  • This disclaimer is governed by the laws of England and Wales.

  • Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.


10. Booking and Cancellations


  • The AI Chat cannot and will not process appointment bookings, cancellations, or rescheduling requests.

  • For security, confidentiality, and compliance with our Cancellation & No-Show Policy, all cancellations or booking changes must be submitted via:


    • The secure WriteUpp booking system, or

    • Direct email to the official clinic address (info@priormindset.com).


  • Any attempt to cancel or amend appointments via the AI Chat will not be recognised or actioned.

  • The AI Chat is programmed to decline cancellation or booking requests and to redirect users to the correct channels.


11. Updates to This Policy



This policy will be reviewed annually, or sooner if there are changes to Wix AI Chat functionality, data protection rules, or clinical governance requirements.

  • The AI Chat cannot and will not process appointment bookings, cancellations, or rescheduling requests.

  • For security, confidentiality, and compliance with our Cancellation & No-Show Policy, all cancellations or booking changes must be submitted via:

12. User Feedback and Website Improvement



  • The AI Chat is programmed to thank users who provide suggestions, corrections, or highlight areas where improvements could be made to the Prior Mindset website or services.

  • Users will be informed that their feedback is appreciated and that Prior Mindset will be notified of possible areas for advancement.

  • Feedback provided through the AI Chat is not treated as a formal complaint. If a user wishes to raise a complaint, they must follow the official Complaints Policy.

  • The AI Chat will not interpret feedback as relating to, or requiring changes in, company policies or clinical procedures. It will only pass on feedback for review.

  • Prior Mindset will review feedback periodically to identify opportunities to enhance user experience and service delivery.
